Litigation Legal Secretary (Immediate Need - Temp to Hire)
A well-established national law practice focused on employment and labor law is seeking an experienced Litigation Legal Secretary for its Riverside, CA office. This is an immediate need with the intention to transition from temporary to full-time hire. The role supports a fast-paced team of attorneys and plays a critical part in maintaining efficient litigation operations.
Position Overview
The Litigation Legal Secretary will provide comprehensive support to multiple attorneys, including document preparation, calendaring, filing, and case management. The ideal candidate is proactive, highly organized, and experienced in managing sensitive and time-critical litigation matters.
Duties & Responsibilities
- Maintain electronic case files following established protocols for organization and searchability.
- Prepare and revise correspondence, pleadings, discovery responses, and arbitration/mediation materials for agency, state, and federal matters.
- Prepare administrative filings and exhibits for agency submissions.
- Assist with preparing exhibits for various litigation matters.
- Manage and update attorney calendars, including monitoring filing deadlines.
- Complete monthly expense reports for assigned attorneys.
- Assist with client invoicing in collaboration with the billing department.
- Track CLE requirements and assist with bar admission-related needs.
- Handle travel arrangements, including flights, hotels, and transportation.
- Prepare notebooks and proofread documents for accuracy.
- Conduct conflict checks and open new client matters in coordination with the new business team.
- Maintain ongoing awareness of current cases and active projects.
- Handle confidential and time-sensitive information with discretion.
- Perform additional administrative tasks as assigned.
Skills & Educational Requirements
- 5+ years of legal experience, preferably in labor and employment litigation.
- Strong understanding of legal terminology and procedures.
- Experience with ECF and California state e-filing systems.
- Experience with document management systems (NetDocs or similar).
- Proficiency in Microsoft Word, Outlook, and Windows environments.
- Familiarity with state and federal rules, procedures, and general legal processes.
- Experience with billing software (e.g., InTapp) and expense reporting tools (e.g., Concur) is a strong plus.
- Ability to support 4+ busy attorneys simultaneously is highly preferred.
- Trial preparation experience is a plus.
- Excellent verbal and written communication skills, strong proofreading abilities, and thorough attention to detail.
- Ability to multitask and meet tight deadlines while maintaining high-quality work.
- Strong interpersonal skills and ability to work effectively within a busy litigation team.

- Associate degree or bachelor's degree preferred; relevant experience considered.
